STANDING RULES OF NORTH PENN SKI CLUB
JULY, 1995

NORTH PENN SKI CLUB
TRIP LEADER RESPONSIBILITIES


  1. Delegate and coordinate with assistant trip leader all activities and responsibilities.

  1. Maintain list of people on trip, ie: addresses, payments, telephone #'s, etc.

  1. Collect all applicable paperwork from trip participants, ie: Ski application, checks, etc.

  1. Advertise and promote trip at monthly meetings.

  1. Collect monies and maintain payment schedule.

  1. Deposit money to NPSC on a timely basis (designated by the Trip Committee).

  1. Maintain financial balance with Treasurer and Trip Committee (monthly)
  2. Track/monitor exchange rate on trip outside of the USA

  1. Maintain contact with transportation agents concerning status of trip

  1. Responsible for check list, e.g. bus, passport, transfers, lodging, luggage, people, pre-departure and return.

  1. ON THE TRIP:
  2. contact with trip participants
  3. responsible behavior


  1. ON SITE RESPONSIBILITIES
  2. maintain leadership role
  3. schedule of events
  4. P/U tickets
  5. coordinate club activities

  1. GIVE TREASURER CHECK # AND AMOUNT OF CHECKS USED IMMEDIATELY UPON RETURN.

  1. Complete trip report - give to Board not more than 2 weeks after trip.

TRIP LEADER TRAINING


  1. Trip leader must know exact duties of the job.

  1. Make a budget

  1. DO's and DON'T list

  1. Meet deadlines

  1. Report to Trip Committee frequently

  1. Expect the Trip Committee to check in and have paperwork update at all times.

  1. Know exactly the timeliness of your trip, deadlines, etc.

  1. Research the area of your trip

  1. Know club policy on refunds, membership requirement, etc.

  1. Comp policy is not a guarantee for a free ride

  1. Do your paperwork!


NORTH PENN SKI CLUB
TRIP COMMITTEE

OBJECTIVE: To serve as a liaison between the NPSC Board and trip leaders. To ensure trips remain `in the black'

SCOPE: Club functions that involve an overnight stay.

RESPONSIBILITIES:

  1. Understand Contract - formal and informal
  2. Number necessary to receive group rate
  3. air
  4. hotel
  5. lift tickets
  6. Cancellation policy
  7. Payment schedule
  8. to travel agent
  9. from travelers to NPSC

Review to ensure that proposed payment schedule from travelers are consistent with payments due travel agent as well as NPSC cancellation policy.

  1. Monitor budget
  2. Track expenses - Income vs. expenses (parties, buses)
  3. Establish check and balances between treasurer
  4. timely deposits
  5. limits on signed checks

  1. Contact travel agent to provide an intermediary in the event of emergency and/or problems

  1. Supervise trip leaders record keeping

  1. Supervise treasurer record keeping

  1. Monitor trip schedule - remind trip leaders of:
  2. payment due dates
  3. Lists e.g. suggested packing, passports
  4. Phone and FAX numbers - hotel as well as NPSC contact

  1. Assist trip leaders wherever possible e.g. help track down answers.

  1. Recommend comp awarded to leader/assistant leader. Report to board on trip leader performance.

  1. Board appointed positions - 2-3 person committee - serving one year.
Prior experience in running qualified trip is a must.

  1. Accepts Trip Leader applications and interfaces with the board on all decision making of qualified members.

  1. Committee will be part of the decision making after reviewing Trip surveys with the President.


NORTH PENN SKI CLUB
TRIP PLANNING

  1. Send out Trip Survey for next season ski trips in October of the prior year. This survey will be available at Ski Fest.

  1. Seek competitive bidding on areas selected for trips

  1. Trips will be based on the following:
  2. Survey feedback
  3. Market deals
  4. FAM trip offered
  5. Members suggestions

  1. Board and Trip Committee will be the decision makers for the final approval of the seasons' proposed trips.


NORTH PENN SKI CLUB - FAM TRIPS:

QUALIFICATIONS & SELECTION OF REPRESENTATIVES:

  1. All FAM trips must be brought to the NPSC Board for approval as a NPSC sponsored FAM.

  1. Official letter is to be sent to the Agency or Mountain, etc. from the Secretary of NPSC confirming who will represent NPSC on the FAM.

  1. Top priority should be given to Trip Leader already defined for a scheduled trip.

  1. Develop FAM trip Application for interested members in good standing for the Board to evaluate the qualifications.
  2. Develop list of approved FAM candidates
  3. Due to short notice, selection will be made from this list based on who is available and can afford the financial obligation ($200 or less).

**Board must carefully evaluate to make sure NPSC's image would be upheld!

  1. Use rotating randomly drawn list to select participants.

  1. FAM's open to all members who are interested in being a trip leader or already is/has been a trip leader.

  1. President is the coordinator due to time frames. Brings to board if possible and time constraints apply. If not, makes the selection and updates Board ASAP.

  1. Participants must reapply each year for FAM list consideration.


FAM TRIP REPORTING:

  1. FAM trip participant must put together a written report form.

  1. Written report must be presented to Board within 2 months of the FAM trip. Participant should attend a board meeting within that 2 months period and present a verbal update as to important info about the area.

  1. Written report will include:

  1. Rate the Travel Agency

  1. Lodging options

  1. Report on FAM trip lodging

  1. Transportation
  2. Major (Air or Bus, transfers, etc)
  3. Local (shuttles, taxis, etc.)
  4. Cost

  1. Mountain or area
  2. Lift tickets and number of lifts
  3. Skiing facilities
  4. Snow conditions and snow making
  5. Ski school
  6. Difficulty of Mountain terrain

  1. Restaurants
  2. Availability
  3. Dress code
  4. Distance from Lodge

  1. Non-Ski activities and amenities
